What an auto repair invoice must show

Most state auto repair laws ask for the same core lines. Florida's Motor Vehicle Repair Act (s. 559.911) is a good checklist:

  • The date and the odometer reading.
  • What was done to fix the problem.
  • Every part and every labor charge itemized with its price. California also requires labor and parts to be listed separately.
  • A statement for each part that is used, rebuilt or reconditioned. California adds OEM vs. aftermarket for crash parts.
  • Any guarantee, with its time and mileage limits (Florida).
  • Your state registration number where one is issued: California ARD, Florida FDACS registration, New York DMV facility number.

If the customer approved extra work by phone or text, record who approved it, when, and how much was added. California, Illinois and Pennsylvania all ask for that record. WrenchTicket prints the authorization log on the invoice. More detail on auto repair laws by state.

Hazardous waste and shop supplies

A disposal fee for oil, coolant or tires is common. In Florida, an estimate that includes a shop supply or waste fee must explain it. California does not allow a generic “shop supplies” or “miscellaneous” charge on invoices: list each part instead. Add the fee as a Fee line, with your EPA ID number if you have one.

Can I email the invoice?

Download the PDF and attach it to an email or text from your phone. Pro keeps every invoice so you can resend it later.

Do I charge sales tax on labor?

It depends on the state. Most states tax parts; a few also tax repair labor. Check with your state revenue department, then set your parts rate and tick “Labor is taxable” if it applies.
