Repair order vs. estimate vs. invoice

The estimate is the price the customer agrees to before work. The repair order (RO) is the shop's working document: it records that the car was dropped off, what the customer asked for, the odometer, who works on it, and what was authorized. The invoice is the final bill. In WrenchTicket they are three views of the same job, so the RO number follows the car from drop-off to pickup.

Fields a repair order should have

  • RO number and date, promised completion date.
  • Customer name and phone, vehicle year, make, model, VIN, plate and odometer in.
  • Customer concern, and diagnosis once known.
  • Authorized parts and labor, plus each added-work authorization with name, method, date and time.
  • Customer signature authorizing the work.

Do I need a repair order if I already have an estimate?

Small shops often use one paper for both. What matters legally is that the customer authorized the work before it started and that added work was approved. The RO view prints both on one page.
